Liability:

By using Iceland Road Trip website, you agree to be legally bound by the following terms, which shall take effect immediately. Iceland Road Trip acts as an agent and cannot be held responsible for any loss or damage due to accident, injury, sickness or schedule change due to weather, natural disasters, strike or any other cause beyond Iceland Road Trip control. Iceland Road Trip acts in good faith, and disclaims responsibility for any agent, hotel, coach operator, airline, guide, restaurant or any other person's or companies' acts, defaults or delays. Iceland Road Trip reserves the right to alter routes, itineraries or departure times without prior notice should this be necessary due to weather or other reasons. In the case of changes to flights, the passenger is responsible for any additional costs incurred as a result of such changes. All clients are advised to purchase comprehensive travel insurance prior to departure to meet contingencies. If you are not satisfied with Iceland Road Trip service in Iceland, you must advise Iceland Road Trip in writing within 30 days of your return. Otherwise no compensation may be considered.

Direct Bookings – Online Bookings:

To pay for services booked directly at Iceland Road Trip website you must be a holder of a valid credit card. Your credit card number is required at the time of booking. In the event that Iceland Road Trip is not able to obtain confirmation from the supplier, an alternative will be offered. If the customer does not accept the alternative, or Iceland Road Trip is not able to offer an alternative, no charge will be made. The customer will be notified of the relevant charges prior to issue of a confirmation invoice.



Prices


All Prices quoted on Iceland Road Trip websites are in Icelandic Krona (ISK) and are per person, unless otherwise specified. The Currency Converter found on the website is only for guidance purposes. Prices are subject to change without notice in the event of currency fluctuation, government taxes, or any such cost increase which, is beyond Iceland Road Trip control. After the booking has been confirmed the price is guaranteed against any surcharge, unless an increase is due to government laws or currency changes. Should the surcharge exceed 10%, clients will be entitled to cancel their booking with a full refund.

Tour packages, Groups and Custom Made Tours:

When booking a tour packages, custom made tour or a group of 10 persons or more, a non-refundable deposit of 10% of the total package price should reach Iceland Road Trip at the time of booking. Full payment for groups and individuals should reach Iceland Road Trip at least 6 weeks prior to the arrival of the clients, or upon confirmation of booking, if done within 6 weeks. In the case of delayed payment, Iceland Road Trip reserves the right to treat this as a cancellation and to withdraw its confirmation of the services. If customer requests a changes to the travel days Iceland Road Trip can charge changing fee. Iceland Road Trip accepts payment by credit card or electronic bank transfer to our bank account.

Other:

If customer is not a holder of a valid credit card, bookings can be sent directly to our office in Reykjavik, by e-mail and paid by electronic bank transfer.

Credit Cards accepted: Visa and MasterCard

There is no charge or service fee for processing Visa and MasterCard payments.

Cancellations:

For cancellations of our services, Iceland Road Trip will make every effort to ensure protection for the customer. However, late cancellation can result in compensation claims from hotels and other service partners. All cancellations must be in writing, and sent to Iceland Road Trip by letter, fax or e-mail. In conformity with business practices within the Icelandic tourism trade, Iceland Road Trip is obliged to charge cancellation fees to customers as follows:

Notice of Cancellation - Individual Customer - General terms:

More than 4 weeks prior to arrival / tour: 10% of full price will be charged
Less than 4 weeks prior to arrival / tour: 20% of full price will be charged
Less than 2 weeks prior to arrival / tour: 50% of full price will be charged
Less than 72 hours prior to arrival / tour: 100% of full price will be charged

Please view "Price Info" for each longer bus tour and trekking tour as different cancellation policy may apply to different tours.

Notice of Cancellation - Groups -10 persons or More and Private tours:

More than 4 weeks prior to arrival / tour: 20% of full price will be charged
Less than 4 weeks prior to arrival / tour: 50% of full price will be charged
Less than 72 hours prior to arrival / tour: 100% of full price will be charged

Cancellation rules for domestic flights, flights / tours to Greenland, day tours in Iceland that include flights and campers & motorhomes are stricter than normal cancellation rules and Iceland Road Trip is obliged to charge cancellation fees to flight passengers as follows:

Time of Cancellation - Groups and Individuals - Tours including flights:

Cancellation terms vary between operators for tours including flights. Please contact us for information on cancellation terms. The cancellation terms from each supplier applies.

Please note:

Cancellation by passenger(s) within a group may result in a price increase for the whole group and a cancellation fee being charged to the passenger(s) who have cancelled. We strongly recommend that our clients purchase a comprehensive travel insurance prior to departure to avoid dispute in case of cancellation. If you cancel your trip or significantly alter travel dates, many policies will reimburse the cost of cancellation fees and related expenses.

Notice of Cancellation - Campers & Motorhomes:

More than 3 weeks prior to arrival / tour: 50% of full price will be charged
Less than 3 weeks prior to arrival / tour: 75% of full price will be charged
Less than 1 week prior to arrival / tour :  90% of full price will be charged

Hotels and Guesthouses:

Last minute cancellation are not accepted by Icelandic Hotels and Guesthouses. Cancellations made less than 72 hours prior to booked arrival date are not accepted and are not refundable. Some hotels may apply a longer cancellation policy. Please be aware of this. 


Booking Changes:

All requests for changes to a booking must be made in writing and sent to Iceland Road Trip by letter or e-mail from the customer responsible for the booking. A changing fee of 20.000 ISK will be charged for changes to the itinerary that is modified in addition to any additional supplier costs incurred by the changes requested.

Invoice and Voucher Delivery:

Travel documents for self drive packages will be handed over to clients on arrival at airport or mailed to the customer if required at an extra cost. For other travel packages vouchers will be mailed at no extra charge. For other tours vouchers will be sent to client's accommodation in Reykjavik area or mailed to the customer if required at an extra cost. Please remember to include your full postal address during the checkout process.

In accordance with mail order regulations, all documents that are mailed will be sent to the billing address of the credit card holder, not to the address of the passenger unless they are one and the same. There is an additional fee for this service except for travel packages other than the self drive packages, - cost depending on sending procedure required.

Car Rental Terms and Conditions:

Iceland Road Trip offers a comprehensive car rental brokering service and our goal is to offer the best available prices and the best service from highly rated and reliable car rental companies. The cars you rent through our service are new, clean and in excellent condition.

Age Requirement and Driving License:
Minimum driver age is 20 years and a driving license must have been valid for at least 12 months and must be presented at the start of the rental. If the driving license is not in Roman alphabet, then an international driving permit (IDP) is needed for translation purposes.
The lessee/driver of a luxury car has to be at least 25 years old and driver license held for at least one year.
The lessee/driver of a bigger vehicles which according to law at any given time requires extended driver license shall present appropriate license at the start of rental.

Credit Card

A credit card imprint will be taken at the start of all rentals for security reasons, even when a voucher covers the cost of the rental. Cash and debit card deposits will not be accepted. This credit card imprint may be used to pay all extra charges, including extra driven kilometers, extra insurance, parking fines, damages or any costs due to the car rental company as a result of the hire's use of the car.

The following credit cards are accepted: VISA and MASTERCARD

Pick-up and Drop-off Service:

For customers in the Reykjavik area staying at hotels, guesthouses or other accommodation free transfer is offered to and from the rental location. Free transfer is also offered from certain locations in the Reykjavik city centre, and from Reykjavik Domestic Airport. For customers arriving at Keflavík airport, a pick-up and drop-off service is offered at an additional charge.
For pick-up service, it is essential that Iceland Road Trip is provided with correct information regarding pick-up location and time before arrival.
If this information is not available at the time of booking, please ensure that you inform us of this at least 3 days prior to arrival. If this information is not provided in time, no responsibility will be accepted or compensation considered for a failed rental.

Rental Period:

The minimum rental period is one day (24 hours). The period is calculated from the time the hirer is picked up until the time when the vehicle has been returned to the same location. If the vehicle is returned 1 hour or more after the designated drop-off time, the car rental company reserves the right to charge an extra day.

Extension of Rental:

If you wish to extend the rental period after receiving the vehicle you may only do so by direct arrangement with the supplier. You will be charged by the supplier at the local daily rate, which may be higher that our negotiated rates.

Fuel Tank:

Rental rates do not include petrol. The rental car will normally have a full tank of fuel and the car should be refilled before returning it. If the hirer fails to do so a charge will be made for having the tank refilled.

Insurance:

Third party liability is equivalent to the amount stipulated by Icelandic law at any given time. This also applies to the amount of individual driver liability.
Third party cover and personal accident insurance is automatically included in your rental.

Collision Damage Waiver (CDW):

CDW is included in all self drive packages. With Collision Damage Waiver - CDW the lessee can insure himself against the disbursement of the driver liability; the amount of the own-risk fee is according to lessor's price list at given time and is also stated on the front side of this rental agreement. The lessee is able to purchase SCDW insurance to further lower the own-risk. However, no insurance covers damages to the underside of the rented vehicle or damages due to driving through rivers or any kind of waterfall. CDW and SCDW do not cover such damages. Such damages are always the lessee’s full responsibility. If you plan to use your own insurance or one provided by your credit card for extra coverage please read and understand the terms of your insurance carefuly and note that the CDW is included in all bookings and can not be removed from the car rental contract or declined. 
This Collision Damage Waiver - CDW does not cover:
a) Intentional damage or damage due to gross negligence on the part of the driver.
b) Damage resulting from the driver being under the influence of alcohol, stimulants or sedatives, or in any other way incapable of driving the vehicle in safe manner.
c) Damage due to race or test driving.
d) Damage due to war, revolution, civil unrest or riots.
e) Damage done by animals.
f) Holes burned into seats, carpets or mats.
g) Damage affecting only wheels, tires, suspension, batteries, glass (other than windows), radios, or loss by theft of parts of the vehicle and damage resulting from this.
h) Damage caused by driving on rough roads to the vehicles transmission, drive, other parts that are in or attached to the chassis; damage to the chassis resulting from scraping the bottom on rough roads as a result of ridges being left by the road graders; stones lodged in the road surface or on the shoulder of the road. The same applies to damage occurring when stones are thrown up, striking the underside of the vehicle during driving.
i) Damages resulting from driving in places where vehicle traffic is banned, such as paths, tracks, banks of snow, ice, unbridged rivers or streams, beaches, places only accessible at low tide, or other trackless areas.
j) Damages caused by sand, gravel, ash, pumice, or other kinds of earth material being blown onto the vehicle.
k) If the vehicle is transported by sea, no compensation will be paid for damage caused by sea spray/seawater.
l) Damage to vehicles caused by driving on roads marked with an F in public maps as well as driving on Kjölur (Road 35) or Kaldidalur (road 550)
m) Lessors loss because of the vehicle being stolen.
n) Water damage to the vehicle.
In other instances, reference is made to the general conditions for accident/all-risks insurance.

Baby and Child Safety Seats:

Safety seats for babies and children are available at an extra cost. For optional extras you will be charged by the supplier.

Driver's Restrictions:

The hirer may not drive 2wd cars into the highlands, or on any off road track. The vehicle shall be handled and driven carefully. Only those named as drivers on the first page of the agreement are authorized to drive the automobile. If lessee drops off the vehicle at different location than stated in this rental agreement the lessor is allowed to charge lessee according to the lessor’s price list for the cost caused from fetching the vehicle. If the vehicle is not returned with a full fuel tank lessor is authorized to charge the lessee for refueling the vehicle according to the lessor’s price list. The lessee is liable for damage resulting from use of the automobile for which no compensation will be paid by the insurance company. This includes damages to the automobile and/or injury to passengers due to the following:
a) Off-road driving, for example, in paths and tracks, on beaches, in areas only accessible during low tide, or in other trackless areas.
b) Driving on roads that are marked with an F on public maps, as well as driving the Kjölur (road 35) or Kaldidalur (road 550), except on 4X4 (four-wheel drive) Jeeps that lessor agrees as appropriate for being driven on such roads. A breach of this article authorizes lessor to collect fines from the lessee, equaling the amount of own-risk as stated in lessor´s price list at any given time. The aforementioned provision on fines does not affect the lessee’s liability regarding damage.
c) Driving under the influence of any intoxicants.
d) Driving in or across rivers or any kind of waterways. Such driving is totally the responsibility of the lessee.
e) Driving in banks of snow and ice.
f) Vehicle use that contravenes Icelandic law and/or the provisions of the lease.

Cancellations and Amendment Charges:

The same cancellation and amendment rules apply to car rentals as to other services on this site.

Value-added Tax (VAT):

All prices mentioned on this site include value-added tax. In Iceland this tax is 11 - 24%

Rental Documents:

The rental voucher must be presented when picking up your rental car. Iceland Road Trip cannot be held responsible for rentals rejected if a voucher is not presented. In the case of a lost voucher you must contact Iceland Road Trip so that a new voucher can be printed.

Provision of Cars:

Suppliers can refuse to provide a vehicle to any customer who is in their opinion unfit to drive, or who does not meet eligibility requirements. In such cases we will endeavor to evaluate each case fairly.

Car Type:

Iceland Road Trip is unable to guarantee a particular model or make of car. The car indicated in your voucher is for guidance only and may be substituted for an alternative similar or upgraded car (at no extra cost).

Number of Passengers:

The rental cars are insured for a maximum number of passengers. Iceland Road Trip cannot accept responsibility if the vehicle is not large enough to accommodate all passengers and luggage.

Complaints:

If you are not satisfied in any way with the standard of the car or the service, you must advise the supplier immediately. You must also advise Iceland Road Trip in writing, within 30 days of your return. We aim to handle all complaints promptly. All rentals are subject to the full rental agreement terms and conditions at the time of rental.
